Job Description

Job Summary

Autism Okanagan is a registered Canadian charity who’s mission is to improve the quality of life for individuals and families living with autism by providing programs and activates in an autism-friendly environment throughout the Okanagan. We work to support and help individuals and families living with autism participate in community activities and events. The mission of Autism Okanagan is primarily delivered through existing programs such as our LEGO Program, Youth Ambassadors Program (YAP), WildCats and Wild Special Hockey teams, Sensitive Santa, Autism Adventures, and Mom’s Night Out.

The Executive Assistant role is a combination of Organization/Admin Support along with a significant Marketing component. The candidate will work alongside the Executive Director in key organizational and planning initiatives.

This role is 30 hours per week, 11:00AM – 5:00PM (Mon – Fri), for 8 weeks.

Location: 208 – 3330 Richter St. Kelowna, BC V1W 4V5

Note: Until further notice, this role can work 100% remote. If COVID restrictions are lifted, the successful applicant may be required to work from the Executive Directors office 1-2 days per week.

Responsibilities:

1. Coordinate Organization Programs

  • Support Executive Director in the development of programs
  • Build program budgets
  • Coordinate program logistics (venues, materials, support staff, COVID safety plans)
  • Develop program monitoring/evaluating criteria
  • Work with Executive Director to develop email campaigns to promote programs and initiatives

2. Office Administration

  • Reviewing, organizing and digitally filing all organization documents
  • Respond to info emails
  • Respond to Autism Okanagan Facebook messages
  • Schedule meetings for Executive Director
  • Update and organize CRM system
  • Create sponsorship deck
  • Work with Executive Director to create monthly reports for Board of Directors
  • Update Autism Okanagan website

3. Social Media Planning

  • Develop social media outline/plan for use with 2020-2021 programs
  • Work with Executive Director to create engaging content
  • Create a synthesized experience across social channels
  • Gather a backlog of media for future social media posts

4. Research

  • Research eligible program grants and funding
  • Research program options
  • Conduct market research with current program participants and local community

5. Grant Prep

  • Gather all necessary grant materials for eligible grants

6. Other ad-hoc duties as required

Basic Qualifications:

  • Experience using Google Docs, Sheets and Slides
  • Experience in Developing/Running Programs
  • 1-2 years of Marketing Experience

  • Be a self-starter with a strong work ethic

Preferred Qualifications:

  • Understanding of ASD
  • A basic understanding of non-profit/charity space
  • Marketing Background/Education
